Certification Date
This is the date through which documents received by the Register of Deeds should be processed through the Official Registry. Certification means more than merely scanning and "recording" documents. It is the point at which the Register of Deeds verifies that the copy of the scanned image is properly captured and archived, the index accurately reflects the information extracted from the documents, and the document has been posted for inspection.

An outstanding service by the Register of Deeds is our Electronic Entry Book, which you may search online or in the office to see documents received by the office from the certification date through the present that have not yet been fully processed and have not yet made it into the Official Registry or have been rejected.

This greatly reduces the risk of fraud and provides a clear record for review if it is alleged a document is improperly rejected. It is possible that at any given point in the day some documents may have been received by the register of deeds that day and are not yet in the Electronic Entry Book, but at the close of business each day, all documents received that day are viewable in the Electronic Entry Book (unless already available in the Official Registry).

Land Index Unverified Date
As an added service to you, documents received by the Macomb County Register of Deeds as of 4:30 p.m. on the "Land Index Unverified Date" are searchable by the first grantor and first grantee name. This added level of service lets you search even more recently in the Official Registry, reducing the need to search the Electronic Entry Book for many documents. Please be aware that if there are multiple grantors or grantees, then those other than the first grantor or first grantee are not indexed until the certification date.

Mail Back Date
Your original document has been mailed by the Register of Deeds to the place designated on the document if it was filed with the Register of Deeds on or before 4:30 p.m. of the "Mail Back Date." If your document was filed by the Register of Deeds after this date, then it has not yet been mailed back. Please note that documents filed after this date are visible in the official registry or entry book for your convenience. We simply hold the originals in the office until we make sure the electronic image and microfilm are clear and that it need not be rescanned.

Electronic Entry Book and Official Registry Use
To perform a property history search:

1. Step One -- Search the Electronic Entry Book from today's date backwards until you get to the certification date. This will give you all documents received by the Register of Deeds from the present back through the inception of the Entry Book (unless the document has been already recorded in the Official Registry by our efficient staff).

2. Step Two -- Search the Official Registry. This will give you all of the documents recorded by the Register of Deeds from the certification date and earlier.


Note: All documents filed at the Register of Deeds are searchable in the Electronic Entry Book upon receipt. As they are recorded they are moved from the Electronic Entry Book to the Official Registry. It is possible that some documents will be searchable in the Official Registry the same date as received into the Electronic Entry Book due to the efficiency of the Register of Deeds staff.

After the recording date, the Electronic Entry Book contains only rejected documents that were not recorded. As a protection against improper rejection, the Electronic Entry Book is searchable online for six months. After six months, the information is then removed from the Entry Book, archived on microfilm, and kept permanently in the Register of Deeds office. Entry Book search requests for documents filed more than six months ago may be made in writing to the Register of Deeds office or by calling 586-469-7953.
